With this service, we assist you with creating, planning, detailing, and executing the day that speaks most to who you are. We begin by listening to your thoughts about your wedding. Then we map out a plan to address every element of your vision. With complete access to our expertise for every detail, we guide you in meeting with vendors who fit your personality, aesthetic, and budget. We attend your meetings with vendors to maximize the efficiency and effectiveness of how your wedding is created. With expert detailing through the planning process and precise coordination the day of your wedding, your event flows flawlessly and leaves you floating to your honeymoon.
Pre-Wedding Details
- Refer all wedding day venues and vendors
- Attendance at every vendor meeting (Red Letter Days Events creates a custom agenda for the planning trips of our destination clients that incorporates venue and vendor meetings in an effective and efficient manner)
- Research and venue scouting for rehearsal dinner location (Red Letter Days Events is happy to plan and execute the rehearsal dinner for a nominal charge)
- Unlimited email and telephone communications
- Creation and maintenance of a budget spreadsheet
- Preview ceremony and reception venues for layout design
- Receive and review all vendor contracts
- Design color scheme, theme and décor for ceremony and reception
- Create ceremony schematic
- Organize seating arrangements for the reception with the client using venue schematic
- Order favors and décor items as needed (paid for by the client)
- Prepare the processional and recessional for the wedding ceremony
- Coordinate and attend the wedding ceremony rehearsal
- Work with clients to create an itinerary for the bridal party and the vendors
- Running of wedding-related errands during the planning process and the day of the wedding
- Storage of décor items at the Red Letter Days Events office
- Assembly of gift bags and other gift items for guests, and the safe delivery of those items to guest accommodations
- Reconfirm all aspects of wedding day requests (i.e. setups, arrival times, teardowns, etc.)
Day of Wedding Details
- A lead coordinator and up to two associate coordinators in attendance the day of the event
- Ensure the integrity of the schedule is maintained
- Ensure guests are where they need to be at the appropriate times and assist guests with their inquiries
- Carry Wedding Day Emergency Kit
- Check the ceremony site regarding setup
- Ensure florals are delivered to the appropriate area and persons
- Ensure ushers have a seating plan if necessary
- Ensure the best man and maid of honor have rings
- Retain the marriage license for the clergy during the ceremony if necessary
- Coordinate start time, processional, and recessional with clergy
- Coordinate the start time with the musicians
- Organize the processional line and spacing
- Assist the photographer as needed
- Coordinate the transfer of gifts, guest book, etc.
- Check the reception site setup according to the diagram
- Arrange favors, escort cards, place cards, and other key items at cocktail reception and each place setting
- Ensure the cake has arrived, and the cake table is set and ready
- Distribute final payments for vendor services (checks given to the coordinator by the client by the day of the rehearsal
- Cue couple for all key moments of the reception (first dance, cake cutting, toasts, etc.)
- Collect all the gifts and personal items and ensure that designated family members, friends, or venue representatives deliver items to the appropriate destination
- Ensure all vendors’ “clean up” duties are met per their contractual agreements
